✦THE QUIET LEAK

Why this matters now.

A patient ready to book at 9 PM meets a “call us during office hours” wall — and by morning the urgency has faded or a competitor with a booking button got them. Every hour your practice can’t take an appointment is an hour it can lose one.

→WHAT CHANGES FOR YOUR PRACTICE

  • Appointments arrive while your practice sleeps
  • Fewer phone-tag loops for your front desk
  • A booking path short enough that almost nobody bails halfway

→TRY THE REAL FLOW

The whole booking flow is right here.

This is not a screenshot or a video, and you do not have to leave this page to use it. Pick a visit type, choose a day and a time, put in a name, and take it all the way to the confirmation screen — the same four steps a patient walks on their phone.

A working demo on a fictional practice, running here in the page: the reference number is real to the demo, and no appointment is booked with anyone. Opening it full size only adds the rest of the demonstration practice website around the same four steps.

+WHAT’S INCLUDED

  • Online booking on your website, 24/7
  • Booking from your Google Business Profile
  • Works alongside your existing practice software wherever integration exists
  • Automatic confirmations the moment a slot is taken
  • A flow tested to be as short as it can honestly be

→HOW IT WORKS

01WIRE IT IN

Booking connected to your availability — synced with your practice software where it allows, a clean handoff where it doesn’t.

02SHORTEN THE PATH

Every extra field costs bookings. We cut the flow to the essentials.

03CONFIRM & HAND OFF

The patient gets instant confirmation; your team gets a clean, complete record.

✦WHAT YOU ACTUALLY GET

Not a retainer. A list of specific things.

A patient who decides to book at nine on a Sunday will not remember to call you on Monday.

01

Four steps. Nothing else.

Visit type, day and time, name and number, done — no account to create, no password, no patient portal standing between a decision and a confirmed appointment. Every field we ask for has to earn its place with your front desk first.

02

The rules stay yours.

You decide which providers, which appointment types, which hours, and how much notice a patient must give — emergency slots can stay held back for the phone. The booking page only ever offers what you have opened.

03

One link, everywhere.

The same flow sits behind the button on your website, the link on your Google profile, and the reminder message. If you also run missed-call text-back — which works with compatible phone setups, confirmed on the discovery call — the same link goes in that text too. A patient meets one booking path however they arrived, and your team learns one system.

04

New patients routed separately.

A first visit and a six-month check are not the same appointment, so they do not get the same form. New patients answer the few extra questions your desk would otherwise ask on the phone; returning patients skip them entirely.

05

Confirmed before the tab closes.

The patient sees a reference number and a written confirmation immediately, so nobody is left wondering whether it went through. Your team gets a complete record — visit type, time, contact details, and whatever the patient told us.

06

We watch where people quit.

Once it is live we look at which step loses people and take that step apart. A field that is costing you bookings gets moved or removed, and we tell you what we changed and why.

$STARTING AT

From $250/mo

Flat monthly, quoted in writing before you commit. Month to month — no minimum term.

→WHAT MOVES THIS NUMBER

  • What your practice software will let us write appointments into
  • How many providers and appointment types the form has to cover
  • Whether we rebuild the booking flow or connect the one you have

Nothing to un-wire if you ever leave: everything we build stays yours. The free Blueprint comes first either way, so you will know what we would recommend before money is discussed.

→HOW IT ACTUALLY WORKS

Four stages, and what each one costs you.

  1. 01

We sit down with your schedule

We spend a call with whoever actually runs your schedule and write down the rules they keep in their heads — appointment lengths, provider preferences, the slots that never go to a stranger. Those rules become the booking logic, not our assumptions about how a practice runs.

You: Give us twenty minutes with the person who owns the schedule.

  2. 02

We check what your software allows

Before we promise a sync, we look at your practice management system and find out what it genuinely permits. Where an integration path exists we use it; where it does not, we say so plainly and design a clean handoff instead — a complete, structured booking your team enters once, with nothing to chase.

You: Tell us the exact system and version you run.

  3. 03

We build the shortest honest flow

Four steps, mobile first, written for a thumb at nine in the evening. We remove every field your desk does not truly need before the visit, and we show you the whole thing before a single patient sees it.

You: Read the flow once and tell us what you would cut.

  4. 04

We go live, then keep cutting

Booking goes onto your website and your Google profile at the same time, so both doors open together. Then we watch where people abandon and keep tightening — the flow you launch with is not the flow you keep.

    You: Nothing.

✦IN DETAIL

The gap between deciding and being booked

The 9pm toothache does not wait for office hours, and neither does the person researching you on a Sunday. If the only route to an appointment is a phone call on Monday, you lose the ones who had made up their mind on Saturday.

We put booking where the decision happens — on your website and on your Google profile — and cut the flow down to the fewest honest steps. Every extra field costs you bookings, so we ask only what your team genuinely needs before the visit.

→YOUR FIRST 90 DAYS

No mystery about what happens when.

You always know what stage you are at, and every stage produces something you can see.

  1. Week 1

    Map the reality

We learn how your schedule actually works, including the rules your team keeps in their heads.

  2. Weeks 2–3

    Wire it in

Booking live on your site and profile, synced with your practice software where it allows and handed over cleanly where it does not.

  3. Week 4 onward

    Shorten it

We watch where people abandon the flow and remove whatever is causing it.

✦ILLUSTRATIVE SCENARIOS · COMPOSITE, UNNAMED, NOT TESTIMONIALS

What a practice in this situation typically asks us.

Composite situations, written to show the work. No practice is named, none is quoted, nothing here is a testimonial.

Website had a contact form, not a booking button.

We replaced the form with the four-step flow and put the same booking path on the practice's Google profile the same week. Appointment types and durations came straight from the schedule owner, so nothing could be booked that the practice would not honor.

What changedPatients who arrive at ten at night now reach a confirmation screen instead of a message the desk has to answer in the morning.

Google profile sent every tap to the phone line.

We wired the booking link directly into the profile so the button beside the map opens the flow rather than dialing. The phone number stayed exactly where it was for anyone who prefers to call.

What changedSomeone finding the practice on the map can finish booking without leaving their phone or waiting for opening hours.

Booking flow asked for insurance details up front.

We moved insurance out of the booking steps and into the confirmation message, where the patient can answer without a live decision blocking them. The desk still gets the detail before the visit, just later in the sequence.

What changedThe step where people were visibly stopping is gone, and the front desk still walks into the day with what it needs.

✦YOUR BOOKING PATH

What a patient meets at nine at night on your homepage

We read your live homepage the way a patient does after hours: whether there is a booking route and where it points, whether there is a form, whether the number is tap-to-call, whether the hours and an emergency line are on the page. Underneath, the seven steps a patient should be able to take, to try on your own phone tonight. It arrives in this thread within a few minutes, and nothing is touched on your site. If you reply, a person walks your booking path screen by screen and counts every field.

  • Your booking route, your form, your tap-to-call and your hours, read off the live page
  • The seven steps a patient should be able to take, to test tonight
  • A screen-by-screen walk by a person if you reply

It arrives by email, in this thread within a few minutes. No sales call, no drip sequence, and nothing is touched on your site.

?THE FAIR QUESTIONS

The things you are actually thinking.

If you have been sold this before and it did not work, these are probably the questions. The answers are the same ones we would give you on the phone.

Hands holding a phone on a sofa at night under a warm lamp, a calendar-like card on the screen

We tried online booking once and it made a mess of the schedule.

That usually means the tool was allowed to sell time nobody had agreed to sell. We start from the rules your team already keeps in their heads — which provider, which appointment length, how much notice, which slots never go online — and write them down before anything goes live. If a rule turns out wrong in the first month, we change it. You are not handing over the schedule; you are publishing part of it.

Will it actually connect to our practice management system?

It depends entirely on your system, and we will not know until we look at yours on the discovery call. Where an integration path exists, we use it. Where it does not, we build a clean handoff: the booking arrives complete and structured, your team enters it once, and nobody has to phone the patient back for missing details. We would rather describe that handoff honestly than sell you a sync that does not exist.

Won't we just get no-shows from strangers booking online?

Some online bookings will no-show, the same as some phone bookings do. We do not claim booking software fixes that. Confirmations, reminders and easy rescheduling are the work that addresses no-shows, and that is a different service. What booking does is require a real phone number, send an immediate written confirmation, and let you hold back the slots you are not willing to gamble on. You keep the right to decide which times a stranger can take.

What does this cost us — in money and in my team's time?

Price is quoted flat and in writing after a discovery call, once we have seen your software and your schedule; anyone quoting before that is guessing. The time cost is honest and front-loaded: one call with whoever runs the schedule, one review of the flow before launch, and a genuine hour of thinking about which slots you will open. After that it runs without your team touching it.

When you should not buy this

If you are not willing to release genuinely bookable times — real slots, this week, not just next month — online booking will not help you. A calendar showing nothing for five weeks reads as closed. Sort the availability first, then come back and we will wire it in.

✕WHAT WE WILL NOT CLAIM

The things we will not say to win the work.

Each of these is a line another agency will happily cross. Here is where we stand on it, in writing.

  • Guaranteed rankings, appointments or revenue.Nobody can honestly promise what Google or a patient will do. We guarantee the work, and you watch what moved month by month.
  • A proprietary dental platform. We build on tools you could run without us, and everything we build is yours.
  • Universal PMS or EHR integration.Integrations are possible with any practice system that exposes an API — we confirm yours on the discovery call. Here is what each system publishes today.
  • AI insurance verification or treatment-plan mining. No agent of ours reads a chart, checks a policy or suggests treatment.
  • “SOC 2” or “HIPAA compliant” as a badge. Our infrastructure runs on Google Workspace and Google Cloud under signed Business Associate Agreements. We do not call that HIPAA compliance, because no vendor honestly can.
  • Clinical or diagnostic AI.Every agent refuses clinical questions and hands to a person.
  • A client quote without written permission. The practice we photograph is credited; nothing anyone said appears here until they say in writing that it may.
  • An invented statistic.Every figure on this site is either counted from what we run, or carries the source it came from.

?ONLINE BOOKING · GOOD QUESTIONS

Will online booking create scheduling chaos?+

No — it books within rules you set: which providers, which slots, which appointment types. You keep full control of the calendar; patients just get a door that’s always open.

Do older patients actually use this?+

Many do — and the ones who prefer to call still can. Online booking adds a lane; it doesn’t remove one.

Does it work with our practice management system?+

We integrate wherever your system allows and design a clean handoff where it doesn’t. We confirm your exact setup on the discovery call before promising anything.

What does Online Booking cost — and am I locked into a contract?+

It starts at $250/mo. That is a floor rather than a quote: what your practice software will let us write appointments into is what moves it most. You get the exact number flat and in writing before committing to anything, nothing runs on a minimum term, and everything we build stays yours if you ever leave.
