Review Management.

Every review answered, in your voice.

From $350/mo what moves this number →

Answered reviews are trust signals; ignored ones are warnings. AI drafts a warm, professional reply for every review, you approve it, and every patient gets a tasteful, well-timed invitation to share.

✦THE QUIET LEAK

Why this matters now.

Patients read reviews like a menu — and they read your replies even closer. Silence under a bad review looks like guilt; silence under a good one looks like indifference. Meanwhile your happiest patients walk out smiling and never think to write a word. Both problems are solvable, gently.

→WHAT CHANGES FOR YOUR PRACTICE

  • A reply under every review, prompt and professional
  • More of your happy patients actually writing reviews
  • Bad-review situations handled with care, not panic

→TRY A DIFFICULT ONE

Pick the review you dread, then read the reply.

Four reviews, the kind that actually turn up: angry about the bill, sore about the wait, a genuinely lovely one, and a one-star with no words at all. Choose one and watch a reply get drafted the way we would hand it to you for approval.

The four reviews are invented and the drafting runs here in your browser — real replies are written against your practice's own voice profile and never post until someone at the practice approves them.

+WHAT’S INCLUDED

  • AI-drafted replies for every new review — you approve before posting
  • Tasteful review requests after visits, timed and worded well
  • All your review platforms monitored in one place
  • Alerting for negative reviews so nothing sits unanswered
  • HIPAA-aware reply discipline — never confirming care details publicly

→HOW IT WORKS

01CONNECT

Every platform where patients rate you, monitored from one place.

02REPLY

AI drafts in your voice within the rules of patient privacy; you approve; it posts.

03GROW

Gentle, well-timed requests turn silent happy patients into public ones.

✦WHAT YOU ACTUALLY GET

Not a retainer. A list of specific things.

A patient reads your worst review, then looks straight underneath it for your answer — and finds nothing there.

01

Your review sites in one queue.

Google, Facebook, Yelp, Healthgrades — the sites your patients actually use, watched from one queue. Which of them we can pull into that queue depends on your listings and how each account is set up, and we confirm it on the call. Nothing gets found three weeks late because nobody logged into an account they had forgotten existed.

02

Drafted in your voice.

We write a voice profile first: how formal you are, whether you sign off by name, the phrases you would never use. Every draft comes out sounding like your practice, not like a template with a name swapped in.

03

Privacy discipline, written in.

No reply confirms anyone is a patient or discusses treatment in public, even when the reviewer already has. The draft moves the specifics to a private phone number and a named person, every time.

04

Bad reviews alert, not wait.

A one or two-star review goes to your named contact as soon as it reaches the queue, not in a Monday digest. The window where a calm reply still reads as care is short, and a weekly summary always misses it.

05

The ask, timed properly.

Requests go out after the visit, worded as an invitation rather than a demand, and never twice to the same patient. Every patient gets asked — no screening, no gating, no sorting by how they seemed at the desk.

06

Your replies, approved by you.

Nothing posts until someone at your practice approves it, from a phone, in about the time it takes to read three lines. Edit a word, rewrite the whole thing, or tell us to leave it alone.

✦THE REVIEW-REPLY AGENT, PLAINLY

An optional AI agent, disclosed as one, that hands to a person.

Four things worth knowing before you switch it on. None of them is a setting you have to remember.

01

What it does

AI-drafted replies for every new review — you approve before posting Tasteful review requests after visits, timed and worded well

02

What it refuses

Posting on its own, and confirming that anyone is a patient. Every draft keeps care details out of public view.

03

How it discloses

Nothing appears in public until you approve it. The reply posts as the practice, because you chose every word.

04

What it needs from your systems

Integrations are possible with any practice system that exposes an API. What yours exposes decides whether it writes to the schedule or hands a structured request to the desk — we confirm it on the discovery call. See which systems publish one.

→HOW IT ACTUALLY WORKS

Four stages, and what each one costs you.

  1. 01

    We read your back catalogue.

We read every review you already have, good and bad, and pull out the patterns: what patients praise without being asked, what they mention twice. That reading is what the voice profile and the first replies are built on.

    You: Nothing.

  2. 02

We agree the voice and limits.

One short call settles tone, sign-off, and the two or three subjects you never want discussed in public. We write it down, so every draft afterwards obeys the same rules instead of your mood that week.

You: Twenty minutes on a call.

  3. 03

    Drafts start arriving for approval.

New reviews land in one queue and a reply is drafted, usually the same day. Anything one or two stars reaches your named contact first, before a word is written, so a person decides how it gets handled.

You: Tap approve, or edit and approve.

  4. 04

    The ask gets switched on.

Once replies are steady we switch on the review requests, one wording at a time, and read what comes back before widening it. Nothing goes out at volume until it works quietly at small scale.

    You: Confirm the wording once.

✦IN DETAIL

Reviews are read more carefully than anything you write

People trust what other patients say far more than what a practice says about itself, and they read the replies as closely as the reviews. A thoughtful answer to a difficult review often does more good than the five-star ones above it.

We monitor every platform in one place, draft replies in your voice for your approval, and time review requests to the end of a visit, while it is fresh, and send them to every patient rather than screening for who is likely to be kind. Every reply is written to avoid confirming anyone is a patient or discussing care in public.

→YOUR FIRST 90 DAYS

No mystery about what happens when.

You always know what stage you are at, and every stage produces something you can see.

  1. Week 1

    Connect and catch up

All platforms monitored in one place, and we work through the backlog of unanswered reviews.

  2. Weeks 2–4

    Request flow

A tasteful ask set up after the right kind of visit, worded so it does not feel like a demand.

  3. Ongoing

    Answer everything

Every new review drafted for approval, with negative ones flagged to you immediately rather than sitting.

✦ILLUSTRATIVE SCENARIOS · COMPOSITE, UNNAMED, NOT TESTIMONIALS

What a practice in this situation typically asks us.

Composite situations, written to show the work. No practice is named, none is quoted, nothing here is a testimonial.

Eleven months of reviews, not one reply underneath

We worked backwards through the whole backlog, drafting a short reply for each and sending them to the owner in batches of ten. The oldest ones got a brief, unfussy acknowledgement rather than a pretend-fresh apology.

What changedThe profile stopped reading as abandoned — every review now sits under a reply written in the practice's own voice.

A one-star about the bill, posted Friday night

The alert reached the named contact that evening rather than on Monday morning. We drafted a reply that acknowledged the frustration, said nothing about the treatment or whether the person was a patient, and offered a direct number and a name.

What changedWhat a stranger scrolling past now sees beside that review is a practice that answered quickly and gave someone to call.

Happy patients every day, almost none of them writing

We put one short ask after the visit — no incentive, no screening, the same wording to every patient. Then we left it alone for a few weeks and read what came back before touching the timing.

What changedReviews began arriving from ordinary appointments instead of only from the two extremes.

✦FREE · NO PITCH

Three review replies, written for your practice

Three replies you can paste today — to a five-star, a mixed three-star and a one-star review — carrying your practice name and phone number, each following the one rule that keeps a reply from becoming a disclosure: never confirm in public that the writer was a patient or what was done. Underneath, which review to answer first and why. It arrives in this thread within a few minutes. Reply with a link to your Google profile and a person writes replies to your three least-answered reviews instead.

  • Three replies — five-star, three-star, one-star — with your name and number in them
  • Privacy-safe wording you can paste straight into Google
  • Which review to answer first, and why

No sales call is required and nothing gets scheduled — you can paste the replies and never speak to us again.

?THE FAIR QUESTIONS

The things you are actually thinking.

If you have been sold this before and it did not work, these are probably the questions. The answers are the same ones we would give you on the phone.

A tablet on a desk showing five glowing star shapes, with a pen beside it

Can't my office manager do this in ten minutes a week?

Honestly, yes — for a while. Writing one reply is not hard; the discipline is. What slips is the third week of a busy month, the review that lands at nine on a Friday, and the angry one that deserves a calm answer from someone who was not in the room. We take away the decision of whether to reply and leave you only the decision of what it says.

Will patients be able to tell a machine drafted the reply?

They can always spot the lazy ones — the reply that restates the review, thanks the patient for their valuable feedback, and stops. Ours are drafted against a written profile of how your practice actually talks, and a person at the practice reads every one before it posts. Here is the unflattering part: approve everything unread and it will start to sound like a machine, and patients will notice before you do.

What can you actually do about a review that is simply untrue?

Two things, and we will not pretend there is a third. We reply once, calmly, without arguing or hinting at what really happened, because the reply is written for the strangers reading it next month rather than for the reviewer. And we report it where it breaks the platform's own policy. Google removes some of those and leaves plenty it should not. Anyone promising you a takedown is guessing.

If we ask everyone, won't that invite the complaints too?

Sometimes, yes. Asking every patient means occasionally getting a review you would rather not have, and we would still do it that way — screening the ask breaks platform policy, and a wall of flawless five stars reads as bought. When a complaint does arrive it arrives with a considered reply under it, which is a better look than a page of silence. And if the same complaint keeps arriving, that is worth knowing.

When you should not buy this

You already answer every review yourself within a day and quietly enjoy doing it — keep that habit, and put the money into photography instead. And if the same complaint keeps arriving, fix the cause first. We would only make it easier to find.

✕WHAT WE WILL NOT CLAIM

The things we will not say to win the work.

Each of these is a line another agency will happily cross. Here is where we stand on it, in writing.

  • A review we wrote, or a reply that went out without you.The review-reply agent drafts; you approve before anything is posted, and no reply confirms anyone is a patient.
  • Guaranteed rankings, appointments or revenue.Nobody can honestly promise what Google or a patient will do. We guarantee the work, and you watch what moved month by month.
  • A proprietary dental platform. We build on tools you could run without us, and everything we build is yours.
  • Universal PMS or EHR integration.Integrations are possible with any practice system that exposes an API — we confirm yours on the discovery call. Here is what each system publishes today.
  • AI insurance verification or treatment-plan mining. No agent of ours reads a chart, checks a policy or suggests treatment.
  • “SOC 2” or “HIPAA compliant” as a badge. Our infrastructure runs on Google Workspace and Google Cloud under signed Business Associate Agreements. We do not call that HIPAA compliance, because no vendor honestly can.
  • Clinical or diagnostic AI.Every agent refuses clinical questions and hands to a person.
  • A client quote without written permission. The practice we photograph is credited; nothing anyone said appears here until they say in writing that it may.
  • An invented statistic.Every figure on this site is either counted from what we run, or carries the source it came from.

?REVIEW MANAGEMENT · GOOD QUESTIONS

Is asking for reviews allowed?+

Asking is fine — what’s not okay is gating (only asking the happy ones) or incentivizing. We ask every patient tastefully and let honesty do the work. Sustainable beats gamed.

What about unfair or fake reviews?+

We respond professionally, flag policy-violating reviews for removal, and never get into public arguments. A calm reply next to an unfair review often does more good than the review does harm.

Do replies respect patient privacy?+

Every reply is drafted to avoid confirming anyone is a patient or discussing care details in public — even when the reviewer volunteers them — and you approve each one before it posts. We follow that discipline; we are not your compliance counsel.

What does Review Management cost — and am I locked into a contract?+

It starts at $350/mo. That is a floor rather than a quote: how many patients a month we ask, and through which channel is what moves it most. You get the exact number flat and in writing before committing to anything, nothing runs on a minimum term, and everything we build stays yours if you ever leave. The free Blueprint comes first either way.
