+AI AGENT · FEWER EMPTY CHAIRS

Smart Reminders.

Fewer no-shows, more patients back on the schedule.

From $300/mo what moves this number →

No-shows are quiet revenue leaks — and so are the patients who drift a year past their recall. Confirmations, reminders, and recall nudges cut the empty chairs without your team lifting a finger.

✦THE QUIET LEAK

Why this matters now.

Nobody no-shows out of malice — life just happens, and a booking made three weeks ago fades. Meanwhile, past patients who loved you simply forget to come back; a year slips by unnoticed. Both leaks have the same fix: the right message at the right moment.

→WHAT CHANGES FOR YOUR PRACTICE

  • Fewer empty chairs from forgotten appointments
  • Overdue patients gently pulled back onto the schedule
  • A front desk freed from reminder phone-tag

→SEE THE SEQUENCE

Every message, laid out day by day.

Drag the marker back through the days before an appointment and watch each message appear at the exact moment it would send. Read the real wording, see where the reschedule link sits, and notice how little of it there is.

A fictional patient on a sample schedule — the timings are the ones we would genuinely propose, and your real sequence is set to your own appointment types on the call.

+WHAT’S INCLUDED

  • Appointment confirmations when a booking is made
  • Well-timed reminders as the visit approaches
  • Recall nudges for overdue checkups and cleanings
  • Easy confirm / reschedule actions inside the message
  • Human wording, sensible frequency — never spammy

→HOW IT WORKS

01MAP THE MOMENTS

Confirmation, reminder, recall — we set the timing that fits your patients and your calendar.

02WRITE LIKE A HUMAN

Short, warm messages that sound like your practice, with one clear action.

03RUN QUIETLY

The sequences work in the background. Your team sees fuller days, not more software.

✦WHAT YOU ACTUALLY GET

Not a retainer. A list of specific things.

The empty chair at nine tomorrow morning was decided today, by a message that either went out or didn't.

01

A ladder, not a blast.

A confirmation when the booking is made, then reminders that step closer as the date approaches. Each has a different job, so none of them reads like the last one repeated back.

02

Stops the moment they act.

Confirm, reschedule, or reply, and everything queued behind that message is cancelled. A patient who has already answered you should never hear from the system again about that appointment.

03

Recall set by appointment type.

A hygiene interval and a longer clinical review are not the same nudge and should not share a schedule. The intervals are yours to set; we build to them, then let the overdue list work itself down.

04

Quiet hours, respected.

Nothing goes out at six in the morning or in the middle of Sunday dinner. Send windows sit inside the hours a patient would expect to hear from a dental office, because a message that arrives at a reasonable time is a message someone actually reads.

05

Replies land with a human.

Every response arrives in one thread with the earlier messages attached, so your front desk answers a question instead of reconstructing one. Nothing sits unread inside a system nobody logs into.

06

Nothing sent twice.

Before anything new goes live we map what your existing software already sends and switch off the overlap, as far as your system lets us reach it. A patient who gets the same reminder from two systems trusts neither of them.

$STARTING AT

From $300/mo

Flat monthly, quoted in writing before you commit. Month to month — no minimum term.

→WHAT MOVES THIS NUMBER

  • Your patient volume — message costs scale with it
  • How many sequences run (recall, confirmations, reactivation)
  • What your practice software will let us connect to

Nothing to un-wire if you ever leave: everything we build stays yours. The free Blueprint comes first either way, so you will know what we would recommend before money is discussed.

✦THE REMINDER AGENT, PLAINLY

An optional AI agent, disclosed as one, that hands to a person.

Four things worth knowing before you switch it on. None of them is a setting you have to remember.

01

What it does

Appointment confirmations when a booking is made Well-timed reminders as the visit approaches

02

What it refuses

Anything you did not approve. It sends the confirmations, reminders and recalls you signed off, on the schedule you set, and stops the moment a patient acts.

03

How it discloses

It never speaks to a patient unsupervised: the messages are yours, approved in advance, sent under your name.

04

What it needs from your systems

Integrations are possible with any practice system that exposes an API. What yours exposes decides whether it writes to the schedule or hands a structured request to the desk — we confirm it on the discovery call. See which systems publish one.

→HOW IT ACTUALLY WORKS

Four stages, and what each one costs you.

  1. 01

We audit what already goes out.

First we find every automated message your practice already sends — from your software, your booking tool, and anywhere else it quietly hides. Whatever is working stays exactly where it is; we build only around the gaps.

You: Point us at your current setup.

  2. 02

    We map the moments.

Confirmation at booking, reminders stepped toward the date, recall intervals by appointment type. We draw the whole timeline first, so you can see every message a patient would ever receive before a single one is written.

You: Confirm your recall intervals by appointment type.

  3. 03

    You approve the wording. Once.

We write every message in your practice's voice and send them to you on one page. You read them, change anything that sounds wrong, and approve — after that it does not come back to you.

You: Read one page and reply.

  4. 04

It runs, and we tune it.

Once live, we watch which sends get replies and which get ignored, then shift the timing and the wording accordingly. You get one page a month showing what went out and what came back.

    You: Nothing.

✦IN DETAIL

Two quiet leaks, one system

The first leak is the no-show: booked, forgotten, and a chair sitting empty that nothing can refill at short notice. The second is slower and larger — patients who simply drift a year or two past their recall and are never chased, because chasing them is nobody's actual job.

Confirmations, reminders and recall nudges close both without your team lifting a finger. The messages are timed and worded so they read as a courtesy rather than a nag, which is the difference between a reply and a block.

→YOUR FIRST 90 DAYS

No mystery about what happens when.

You always know what stage you are at, and every stage produces something you can see.

  1. Week 1

    Find the gaps

We look at what your software already sends and keep whatever works, so nothing gets duplicated.

  2. Weeks 2–3

    Fill them

Confirmations, staged reminders and lapsed-recall nudges written and scheduled.

  3. Ongoing

    Tune the timing

We adjust send times and wording based on what actually gets replies.

✦ILLUSTRATIVE SCENARIOS · COMPOSITE, UNNAMED, NOT TESTIMONIALS

What a practice in this situation typically asks us.

Composite situations, written to show the work. No practice is named, none is quoted, nothing here is a testimonial.

One reminder, sent the night before the appointment

We found one message going out the night before, with no way to reschedule from it. We added a confirmation at the moment of booking and a reminder two days ahead, both carrying a reschedule path.

What changedConflicts started surfacing days early, while the slot could still be given to someone else, instead of arriving as an empty chair that morning.

Hygiene recall run on sticky notes and good intentions

We pulled the overdue list and split it by interval, then wrote nudges spaced weeks apart, each one stopping the moment a booking was made. Nobody at the front desk had to touch the list again.

What changedThe overdue list stopped being the job nobody had time for, and began working itself down in the background.

Two systems texting the same patient, one at 6am

We mapped what the practice software already sent, switched off the overlap, and set send windows to hours a patient would expect to hear from a dental office. Three messages became two.

What changedPatients started replying to the reminders instead of muting the number they came from.

✦FREE · NO PITCH

Your reminder sequence, written out and ready to send

We write the actual reminder sequence for your practice: the confirmation, the reminders, the recall nudge, with the real wording and the exact send timings, on one page. It arrives in this thread within a few minutes, in the email and as a PDF, and you can hand it straight to whoever runs your current system.

  • Every message written out in full, ready to copy
  • Send timings mapped against a real appointment date
  • The recall intervals we would use, by appointment type

No sales call, no drip sequence — one email, and it is yours whether or not we ever speak again.

?THE FAIR QUESTIONS

The things you are actually thinking.

If you have been sold this before and it did not work, these are probably the questions. The answers are the same ones we would give you on the phone.

A kitchen counter in the morning, a phone leaning on a mug showing a reminder-card shape

Our practice management software already sends reminders. Why would I pay for this?

It might be doing enough, and that is the first thing we check. If what you have is well-timed and getting replies, we will say so and point you somewhere else. What we usually find is a single message the night before, with no way to reschedule from it — which reaches the patient too late to do anything but apologize. We keep what works and fill in around it.

Won't this just annoy my patients until they opt out?

It will if it is done badly, and plenty of it is done badly. Our rule is that a sequence stops the moment a patient acts: confirm, reschedule or reply, and everything behind it is cancelled. Nothing sends outside sensible hours. Recall nudges are spaced in weeks, not days. Opt-outs are honored immediately and permanently. We would rather send one message too few than one too many.

Will this actually connect to our practice management system?

That depends on your system, and we will not pretend otherwise. Some practice management software opens up cleanly, some exposes a partial view, and some gives you nothing but an export. We check yours on the discovery call before you commit to anything, and we tell you plainly which of those three you are — including when the honest answer is that the handoff needs a manual step at your end.

The last agency showed me dashboards, not patients. How would I know this is working?

We record what your schedule looks like before we touch anything, then show you the same view every month: how many messages went out, how many were confirmed, how many appointments were moved rather than missed. Nobody can guarantee you a no-show rate, and anyone who does is guessing at your numbers. What we can put in front of you is the work and your own numbers, side by side, from the first month.

When you should not buy this

If your schedule is booked solid and a waitlist swallows every cancellation within the hour, this will not move much for you — spend the money on capacity instead. And if nobody at your practice will sit down and approve the wording, wait until someone will.

✕WHAT WE WILL NOT CLAIM

The things we will not say to win the work.

Each of these is a line another agency will happily cross. Here is where we stand on it, in writing.

  • A message a patient never agreed to.The reminder agent sends what you approved, on the schedule you set, and stops the moment a patient acts.
  • Guaranteed rankings, appointments or revenue.Nobody can honestly promise what Google or a patient will do. We guarantee the work, and you watch what moved month by month.
  • A proprietary dental platform. We build on tools you could run without us, and everything we build is yours.
  • Universal PMS or EHR integration.Integrations are possible with any practice system that exposes an API — we confirm yours on the discovery call. Here is what each system publishes today.
  • AI insurance verification or treatment-plan mining. No agent of ours reads a chart, checks a policy or suggests treatment.
  • “SOC 2” or “HIPAA compliant” as a badge. Our infrastructure runs on Google Workspace and Google Cloud under signed Business Associate Agreements. We do not call that HIPAA compliance, because no vendor honestly can.
  • Clinical or diagnostic AI.Every agent refuses clinical questions and hands to a person.
  • A client quote without written permission. The practice we photograph is credited; nothing anyone said appears here until they say in writing that it may.
  • An invented statistic.Every figure on this site is either counted from what we run, or carries the source it came from.

?SMART REMINDERS · GOOD QUESTIONS

How many messages does a patient get?+

As few as do the job — typically a confirmation, one or two reminders, and recall nudges spaced far apart. The moment a patient acts, the sequence stops. Annoying your patients would defeat the entire point.

Text, email, or both?+

Whatever each patient responds to — usually text-first for reminders because it’s read in minutes, with email as the backup lane.

Can patients reschedule from the message?+

Yes — a reschedule path is built into the message. A patient who can fix a conflict in ten seconds is a patient who doesn’t become a no-show.

What does Smart Reminders cost — and am I locked into a contract?+

It starts at $300/mo. That is a floor rather than a quote: your patient volume — message costs scale with it is what moves it most. You get the exact number flat and in writing before committing to anything, nothing runs on a minimum term, and everything we build stays yours if you ever leave. The free Blueprint comes first either way.
